Canon, HP, Brother, Kyocera or Konica Minolta: Which Office Printer Costs Less to Run?

Original vs compatible toner, drums and three-year costs for an office of 10 and 30 people — with real US prices.

The printer is the cheap part. Over three years an office spends two to ten times more on toner and drums than on the machine itself — and the brand you pick decides how much of that you can save with compatible (third-party) cartridges. We set up and support printers for offices, warehouses and practices, so here is a plain comparison of five brands with real US prices from November 2026, for an office of 10 and an office of 30 people.

The short answer

  • Brother — the best value for small offices if you are fine with compatible toner: cheap printers, cheap compatibles, and a separate drum you replace only every 15,000–45,000 pages.
  • HP — reliable printers, but most current models use “dynamic security” that can block cartridges with non-HP chips, and HP+ (“e”) models require original HP toner. Budget for original supplies.
  • Canon — solid all-in-ones; the drum is inside every cartridge. Compatibles show a warning but print. Good middle ground.
  • Kyocera — costs more to buy, but has the lowest cost per page with original toner thanks to a long-life drum built into the printer. Our pick for busy offices of 20–50 people.
  • Konica Minolta — sold through dealers, usually as a lease with toner, drums and service included and a price per page. Best when you need color, A3 and big paper trays with one predictable bill.

How we counted

Old office surveys found 20–35 printed pages per person per working day; with hybrid work most of our clients print far less. We assume about 200 pages per person a month: ~2,000 pages a month for 10 people and ~6,000 for 30. Each model must handle that volume within the manufacturer’s recommended monthly range — HP and Canon workgroup models top out at 4,000–4,800 pages a month, so for 30 people we count two of them. Cost per page = cartridge price ÷ rated (ISO) yield, plus the drum or maintenance kit where it is a separate part. Compatible yields are the sellers’ claims.

Konica Minolta bizhub 4221idealer quoteUsually leased: around $79+ a month plus ~1¢ a page, toner, drums and service included — roughly $3,500 over 3 years (estimate)

Our choice for 10 people: Brother MFC-L2820DW or Canon MF289dw if you will use good compatibles — under $1,300 for three years including the printer. If you prefer original toner only, Kyocera wins clearly (its sibling all-in-one ECOSYS MA4500ifx uses the same toner). Choose HP if you want HP’s ecosystem and are fine paying for original cartridges.

Office of 30 people

Our choice for 30 people: Kyocera ECOSYS MA5500ifx if you want original toner, low running costs and a machine built for the volume — about $4,000 for three years with everything. Brother MFC-L5915DW is the budget option with compatibles (about $1,500), but one machine for 30 people means a queue — many offices add a second one. Konica Minolta makes sense when you need color and A3 and want service included. We would not run a 30-person office on a single HP or Canon workgroup model: it works above its recommended volume and wears out faster.

Drums: separate, inside the cartridge, or long-life

BrandWhere the drum isWhat it means for you
BrotherSeparate drum unit (DR830, DR920, DR229CL)You replace toner often and the drum rarely. Drums are easy to buy — original $158–273, compatible about $40. Keep one spare.
HPInside every toner cartridgeNothing extra to buy, but you pay for a new drum with every cartridge — one reason original toner costs more per page.
CanonInside every toner cartridgeSame as HP: simple, but more expensive per page and more plastic waste.
KyoceraLong-life drum in the printerOnly toner is replaced; a maintenance kit (drum, developer, fuser) every 300,000–500,000 pages costs about $330–350. Lowest cost per page.
Konica MinoltaSeparate drum / imaging unitsBought through the dealer — or included in a lease. On the C301i a black drum unit is about $178 for ~225,000 pages.

Is compatible toner safe?

  • Warranty: under the US Magnuson-Moss Warranty Act, a manufacturer cannot void your warranty just because you used third-party supplies. It can refuse to cover damage that it shows the third-party cartridge caused — Canon’s warranty, for example, excludes damage from non-Canon supplies.
  • HP: HP’s store pages say these printers use “dynamic security measures to block cartridges using a non-HP chip,” and that firmware updates can block cartridges that worked before. HP+ (“e”) models require original HP toner for the life of the printer. After a 2025 class-action settlement, HP lets users decline firmware updates that include dynamic security.
  • Brother: in 2025 a well-known repair advocate claimed Brother firmware updates restrict third-party toner; Brother called the claims false. Reports are anecdotal — we have not seen blocking in our clients’ offices, but we test new compatibles before buying in bulk.
  • Canon and Kyocera: show a “non-genuine” message but keep printing.
  • Quality varies by seller. Good compatibles from established sellers work well; the cheapest no-name cartridges are where leaks, streaks and short yields come from.

What we recommend: buy compatibles from one established seller, keep one original cartridge as a spare, and turn off automatic firmware updates on HP printers that run on compatibles (after checking the security notes of each update).

What about color?

Color lasers print beautiful documents, but color toner is expensive: on a Brother HL-L3280CDW with original XL toner a full-color page costs roughly 19¢. If you print color often, an ink-tank printer costs a fraction of that — for example HP Smart Tank 7603 ($349.99, about 1.1¢ for a color page with original bottles) or Canon MAXIFY GX4020. For high-volume color, a leased color MFP (Konica Minolta and similar) with a per-page price is usually the cheapest predictable option.

Frequently asked questions

Which printer brand is cheapest to run? +

With original toner, Kyocera ECOSYS — about 0.7–0.8¢ a page thanks to a long-life drum. With compatible toner, Brother and Canon small all-in-ones cost about 1.1–1.4¢ a page.

Does compatible toner void my printer warranty? +

Not by itself. US law (Magnuson-Moss Warranty Act) does not let manufacturers void a warranty just for using third-party supplies, but damage caused by a bad cartridge may not be covered.

Do HP printers block third-party toner? +

Many current HP LaserJets use dynamic security that can block cartridges with non-HP chips, and HP+ (“e”) models require original HP toner. Check the model before buying if you plan to use compatibles.

How often do I need to replace the drum? +

On Brother lasers every ~15,000–45,000 pages depending on the model. HP and Canon put a new drum in every cartridge. Kyocera drums last 300,000–500,000 pages and come in a maintenance kit.

How many printers does a 30-person office need? +

One workgroup machine rated for 6,000+ pages a month (for example Kyocera MA5500ifx or Brother MFC-L5915DW), or two mid-size all-in-ones. Many offices add a second device near the busiest team to avoid queues.

Should we lease a copier instead? +

Leasing (Konica Minolta and similar) makes sense if you print a lot of color or A3, or want toner, drums and service in one monthly bill. For mostly black-and-white printing, buying a good laser is usually cheaper.
